Paper and Microfilm to Digital Format
When the Record Manager’s overriding concern is accurate retrieval of documents, whether paper or microfilm, and delivery of that document to several users simultaneously, there can be only one answer: Document Imaging. This is the technology that permits a paper and microforms to be scanned and indexed (perhaps with several index tags). The scanned image then resides on a computer hard drive or CD and can be made available to all permitted users of the organization’s computer network or, with the appropriate system, over the Internet.
To assure an Imaging system is in top performance it is imperative that all documents be properly scanned and indexed. This is a tall order when one considers all of the documentation that is generated every day. It’s an awesome task when one considers the conversion of “backfile” documentation. Indexing of the documents may be done “on the fly” or after the scanning process. While indexing is labor intensive, the process is typically aided by Optical Character Recognition (OCR) software, Intelligent Character Recognition (ICR) software, and utilization of the clients existing database.
